After you assign an assessment in Smartgrade, you may need to assign it to additional classes, or realise that you've set up markbooks for classes that you don't need. You may also find that if time passes between assigning an assessment and teachers entering data, student class memberships have changed. This article describes how you can reassign an assessment to deal with both issues.
1. Refresh student lists on a single markbook
If you only need to refresh the student list in a single markbook you can do it from the markbook itself, by clicking the REFRESH STUDENT LIST button in the top right of your markbook.
You'll then see a modal which will allow you to add or remove students who have been added or removed from the associate class in your MIS since the markbook was created:
Select "Add students..." to add in any students who have joined a class since the markbooks were first assigned. Select "Remove students..." to remove any students who have left the class since the markbooks were first assigned.
2. Reassign an assessment to refresh student lists on multiple markbooks
To refresh multiple markbooks, you can reassign an assessment. Go to the Marketplace and click on "Assign". If you've previously assigned the assessment, you'll be taken through the reassignment process.
When you go through the reassignment process, you'll see the following screen:
Select "Add students..." to add in any students who have joined a class since the markbooks were first assigned. Select "Remove students..." to remove any students who have left the class since the markbooks were first assigned.
3. How to clean up empty markbooks or create new ones
When reassigning an assessment, after the Add/Remove students screen described in step 2 above, you'll see a screen similar to the normal "Assign an assessment" screen, with the existing class assignments pre-filled as follows:
Adjust the classes selected to add/remove markbooks. Any empty markbooks that are deselected will be deleted. Any classes that are added will be used to create new markbooks.
Note: when reassigning an assessment, it is important that you leave classes selected where you have previously created markbooks, unless you want to delete those markbooks. If you deselect a class or school then those markbooks will be deleted if they are empty.
